User Permissions

Granting and restricting access for your Dineplan users.

Each user account is given permissions for different access on your Dineplan account. 

 

It is important to make sure the correct user permissions are given to each account to avoid giving staff members access to settings that they should not be changing.

 

User Permissions

  • Availability Settings: Access to make changes to seating areas, shifts and tables.
  • Guest View Access: Access to view all guest details in the database, edit guest details and view reviews.
  • Guest Export: Ability to export the entire database in an Excel spreadsheet. (The user needs to have the Guest View Access permission in order to access this)
  • Add/Edit Reservations: Ability to add and edit reservations on the account.

  • Add/Edit Users: Ability to add new users and edit current users. This includes changing user permissions, passwords and usernames. (The user needs to have Settings Access permissions in order to access this)

  • Add/Edit User Restaurant Access: Ability to edit which users have access to Dineplan accounts which are joined in the group. This is only applicable to joined Dineplan accounts. (The user needs to have Settings Access permissions in order to access this)
  • Exception Access: Ability to create and edit Exceptions to open or close off days for online bookings, set up Ticketed Events and create Widget Day Notes.

  • Payment Report Generation: Ability to export a payment report detailing guest deposits that have been paid to the restaurant. (The user needs to have Settings Access permissions to access this.)

  • Payment Settings Access: Edit which emails payment notifications are sent to, add and edit payment items and templates to charge guest deposits. (The user will need Settings Access permissions to access this)

  • Refund Ability: Ability to action a refund to a guest directly from Dineplan. Once a refund is actioned on Dineplan, the payment goes back to the card that the guest used to make the payment and this cannot be stopped or cancelled.

  • Respond to Review: Ability to respond publicly to a guest's Dineplan review. (The user will need the Guest View Access permissions to access this)
  • Settings Access: Access to make changes to the restaurant contact details, notification settings, email and sms settings, review settings, add or edit tags, change the user password and edit the details of the restaurant listing on our App and Website.

  • SMS Marketing: Ability to send out bulk SMS marketing directly to guests on the database. (The user will need to have Guest View Access permissions to access this)

  • Statistics Access: Access to view the restaurant booking statistics.

  • SMS Top-up: Ability to add SMS credits directly onto the Dineplan account. This is charged to the next debit order and cannot be removed once created. (The user will need Settings Access permissions to access this.)

 


We recommend the following permissions for a restricted user: Add/Edit Reservations, Guest View Access and Statistics.

It is possible that reservation staff will also need access to Exceptions to close off days for online bookings, but it is important that all staff with this access know how to add Exceptions correctly.
